The Vendor is required to provide a document data extraction software.

Enhanced data extraction from transcript documents to enable automated
data entry, expand data collection, and streamline workflows for
Enrollment Planning and the Registrar.
- The solution must be capable
of efficiently and accurately converting (capturing, extracting,
analyzing, validating, and transposing) relevant data (i.e., grades
received, courses taken, etc.) from student high school and college
transcripts files and images, both official and unofficial, into
delimited and other analyzable formats.
- The solution
must be capable of efficiently and accurately converting (capturing,
extracting, analyzing, validating, and transposing) relevant data from
various documents other than educational transcripts.
- The solution
must accommodate a manual process (e.g., file drop and drag) or a batch
process to accept documents such as high school and college
transcripts.
- The solution shall update or insert
new records in Salesforce with student and institution information, high
school and college GPAs, graduation date, course information, and test
score information, including other relevant metrics, with minimal human
interaction.
-The solution shall incorporate a built-in
error correction mechanism that allows for re-converting or reprocessing
specific portions of the transcript if errors or inaccuracies are
detected during the text recognition process, ensuring accurate data
extraction.
- The solution shall be enabled for access to SharePoint, another cloud repository, or an on-prem server folder
- The solution shall include an out-of-the-box Salesforce API or connector.
- The solution shall be available for purchase on the Salesforce AppExchange for file access.

The solution shall provide a user-friendly interface that allows
knowledgeable staff members to review, verify, and override the
automatically populated information.
- The solution
shall allow select users to edit business logic and customize code
(e.g., Apex code) to enhance solution data extraction performance.
- Real-time monitoring of transcript workflows and error handling.
- Regular status reports on processing volumes and system health.

The solution shall capture instances where portions of the transcript
fail to be read correctly, or errors are encountered during the
intelligent data extraction process and automatically notify designated
employees.
- The solution shall allow an authorized employee to
customize certain configuration settings pertinent to such functionality
as data validation, roles/permissions, workflow routing, and
communication distribution.
- The solution shall
provide full version updates, specify how often those updates are
available, and what those updates will require from the College.

The solution shall protect itself from unauthorized access and malicious
attacks, and as a result, provide reports on activity when requested.
- The solution shall logically separate each customer’s data from all other tenants in the cloud environment.
- The solution shall support a single-sign-on feature that aligns with the College's User
Identity
Management, preferably native SSO SAML 2.0 Azure Active Directory, with
or without support for user provisioning.
- The solution
shall allow role/permission settings at task, step, and in certain
cases field levels to protect privacy data from being accessed online by
users, by the system’s own functionality.
