RFP Description

The Vendor is required to provide a fleet management software solutions specifically designed to support a fleet dominated by heavy equipment such as compactors, bulldozers, loaders, excavators, grinders, and machinery used throughout landfill and recycling operations; software platform that enhances equipment utilization, improves maintenance planning, strengthens inventory and parts management, supports OEM factory installed telematics integration for modern equipment, and provides accurate financial visibility through depreciation and lifecycle reporting.
- System should allow the SWA to maintain detailed equipment profiles, including serial numbers, VIN information, model details, attachments, maintenance histories, usage hours, and location data. 
- The software must be compatible with Caterpillar telematics systems such as CAT VisionLink and Product Link, and it should be capable of importing machine data including hour-meter readings, health alerts, fault codes, fuel usage, idle time, and other diagnostic information. 
- For equipment without Telematics (API) capability, a separate modem will need to be provided. The software should support manual input of usage hours, inspection reports, operator logs, and performance notes.
- System must include a robust inventory and parts management module capable of tracking consumables and stock items such as filters, tires, hydraulic components, cutting edges, and other parts required for heavy equipment maintenance. The module should support vendor information, reorder points, cost tracking, and cross-referencing of parts used on specific work orders. Vendors should describe the system’s ability to integrate future barcode capabilities.
- The software should also support depreciation tracking for all heavy equipment assets. This includes the ability to record acquisition cost, expected service life, residual value, and replacement projections. Reporting tools should assist the SWA in determining lifecycle costs and identifying when replacement becomes more cost-effective than continued repair.
