RFP Description

The Vendor is required to provide an integrated library system that:
1. Is cost-effective and economically sustainable to maintain
2. Has robust security features and user permission levels
3. Offers streamlined, flexible and intuitive solutions that support the unique challenges and functions of MLS library staff
4. Continues to evolve and grow to support MLS in our efforts to meet the changing needs of our communities 
5. Ensures adaptability of expansion with expected increases to patron records, collection codes, location identifiers, and bibliographic/title records
6. Meets current accessibility compliance (WCAG 2.1 AA) and maintains compliance with any future requirements 
7. Has comprehensive reporting and statistical capabilities, including customizable reports and data export options
8. Has the option to allow access beyond MLS walls to meet guest needs where they are including functionality to have hold management, checkout and check in, and creating library accounts, outside of the MLS network 
9. has documentation that is easy to understand, kept current, with updates in alignment with each release
10. Has customer support that is responsive, communicates frequently, tracks tickets promptly and transparently, and is available 24/7.
- ILS must integrate with the Library’s Kardex automated storage and retrieval system (ASRS) for tracking newly received materials awaiting cataloging and processing
- Functional Requirements:
• Allow staff to record and view Kardex storage locations (tray/bin identifiers). 
• Search by PO, vendor, ISBN, or title and view Kardex location immediately within ILS. 
• Allow searching for in-process items within the ILS and display Kardex location details in the item record. 
• Support barcode scanning to update item/tray statuses. 
• Work slip to display item/tray status with scannable barcodes.
• Generate individual pick lists for cataloging and processing staff. 
• Support bi-directional communication to synchronize item identifiers, tray/bin IDs, and statuses. 
• Provide API endpoints or scripting hooks for inventory reconciliation and reporting. 
• Allow automatic status transitions when items enter or leave Kardex. 
• Record item receipt and assign materials to Kardex trays/bins from within the ILS. 
• Update item statuses automatically as materials move through receiving → cataloging → processing → distribution. 
• Generate batch pick lists for cataloging and processing staff. 
• Support barcode scanning for batch imports to update item/tray statuses. 
• Provide dashboards and reports for tracking Kardex volume, processing times, and workflow bottlenecks. 
• Offer a scheduled report or dashboard summarizing Kardex inventory, receipts, and items stored.
