• Apf-9110.1 – theft, vandalism and property loss reporting form
• Occupational health and safety
• Centralized textbook request
• Report cards, pts conferences and final exam dates
• Apf-9040.1 – school grounds improvement plan
• Apf-7410.1 – prior approval for fundraising
• Central equipment fund request
2. Technical and functional requirements
• Architecture: recommend target data stores (SharePoint lists vs. data verse) per form, considering scale, relational needs, security, and future analytics.
• Security and compliance: role-based access using microsoft 365 groups; data retention; audit logging.
• Usability: responsive design; validation; printable outputs where required.
• Automation: email notifications, reminders, stage transitions; optional calendar integration.
• Reporting: provide baseline dashboards (power bi) for key forms when required (e.g., incidents, approvals, annual compliance).
• Documentation and handover: solution design docs, data and security models, app and flow logic documentation.
• Training: admin training sessions; knowledge transfer.
3. Proponent qualifications
• Microsoft partner with demonstrated power platform expertise (power apps, power automate, power bi).
• Experience migrating InfoPath and SharePoint solutions to modern m365 services.
• Strong knowledge of SharePoint online information architecture and governance.
• State public sector experience is an asset.
4. Assumptions and constraints
• Prairie valley school division will provide access to our o365 tenant and required environments
• Prairie valley will be available for discovery and clarification sessions
• Data storage must remain in our o365 tenant
• Division will be responsible for purchasing and maintaining all required microsoft 365 and power platform licenses for end users, administrators, and service accounts
• Proponents must clearly identify any premium connectors, data verse usage, or power apps and power automate licensing implications associated with their proposed solution.
