The vendor required to provide student engagement and co-curricular management solution that enhances the student experience, streamlines administrative processes, supports data-driven decision-making, and integrates with existing institutional systems while providing scalable, accessible, and secure access for students, faculty, and staff.
- Objectives
•    Increase student awareness of campus programs, events, and activities
•    Improve student participation and engagement in co-curricular opportunities
•    Provide a centralized, easy-to-use platform for events, organizations, and communications
•    Improve administrative efficiency for managing student organizations and activities
•    Enable collection, tracking, and reporting of student engagement data
•    Support institutional assessment and planning through analytics and reporting
- Platform scope
1. Centralized access and discovery
•    Campus events and activities
•    Student organizations, clubs, teams, and groups
•    Co-curricular opportunities and programs
•    The platform should make events and opportunities easy to find, browse, and search.
2. Authentication and system integration
•    Support single sign-on (SSO) using the college’s authentication standards
•    Integrate with institutional student and learning systems currently in use by agency
•    Support standards-based integrations through APIs or equivalent methods
•    Proposers must describe all available integrations, supported standards, and any associated costs.
3. Events and campus calendar management
•    A centralized campus-wide events calendar
•    Event creation, publishing, and management tools
•    Event discovery and search functionality
•    Web-based and mobile access to event information
•    Event reminders and notifications
•    Attendance tracking, including the ability to record attendance at the beginning and end of events
•    Reporting on event participation
4. Communications and notifications
•    Targeted messaging to individuals or defined groups
•    Push notifications and alerts
•    Event reminders and updates
•    Social media sharing or integration
•    The platform should support future expansion of targeted communications based on student involvement or affiliation.
5. Student organizations, clubs, and group management
•    Member and roster management
•    Group directories
•    Group communication tools
•    File storage and document sharing
•    Electronic forms and workflows
•    Role-based permissions for group leaders and administrators
6. Engagement tracking and gamification
•    Tracking student participation across events and activities
•    Gamification features (e.g., points, badges, or milestones)
•    Configurable engagement metrics
•    Ability to associate engagement levels with incentives or recognition
•    Proposers must clearly identify whether these features are native to the platform or available as optional modules.
7. Co-curricular transcript and engagement records
•    Student participation records across events and organizations
•    A co-curricular transcript or engagement summary
•    Ability for students to view and manage eligible activities
•    Administrative access to engagement data for reporting and assessment
8. Reporting and analytics
•    Administrative dashboards
•    Standard and configurable reports
•    Data export in commonly used formats
•    Support for institutional assessment, planning, and compliance reporting.
