RFP Description

The vendor required to provide content management software (CMS) with crafter CMS to offer a modern, easy-to-use, drag-and-drop, low/no code CMS.
- Technical requirements
•    Migration of all layouts and content (pages, documents, media, metadata) from alfresco to crafter.
•    Development of all current alfresco CTDs and v3 components from EDU guide into crafter for easy drag-and-drop use
•    HTML (not full CSS) should be available to digital team administrators and superusers; developers in IR will need CSS and more
•    Preservation of URL structures and SEO metadata.
•    Integration with UT southwestern single sign-on (SSO) and user management systems.
•    Support for responsive web design, accessibility (WCAG 2.1 aa compliance), and SEO best practices.
•    Implementation of workflows and permissions equivalent to or exceeding current alfresco functionality.
•    Documentation of system architecture and configurations.
- Functional requirements
•    Multitenancy: departments, offices, schools should only have access to their own content and media library with an easy way to search and identify pages and assets
•    Easy-to-use, drag-and drop, no and low code authoring interface for content editors
•    Html option for administrators and superusers who prefer source code
•    Granular permissions per department(s) and file types 
•    Bulk upload of assets (images, documents)
•    System ensures adherence to file naming policy 
•    Publishing calculates dependencies and insight into image and document dependencies 
•    Duplicating entire sites and single pages: ability to build a new site and section or add to an existing site and section based on predefined templates containing directories, configurations, and possibly sample content, i.e., a template library.
•    Maintain existing approval workflows and publishing gates
•    Robust content versioning and rollback capabilities.
•    Workflow automation for content review and approval.
•    Leverage existing elastic search and tagging capabilities
•    Reporting and analytics functionality: items pending review; items older than one year, users (total, active, nonactive), file list per groups, etc.
•    Integration of site improve checker and other equivalent tools.
•    Shareable preview links without login
•    Alert capabilities
•    Rich text editor – clean copy and paste from word processing documents, removing extraneous code (as from microsoft).
•    AI capabilities (such as alt text suggestion).
