RFP Description

The Vendor is required to provide an electronically securable, cloud-based locker storage solution to support housing and memorial union customer-facing services located within multiple campus buildings. 
- The solution should enable students, faculty, and staff access to physical lockers via a web interface without requiring a mobile app, the solution must integrate with the university's Single Sign-On (SSO) authentication and provide real-time electronic tracking of locker usage and stored items.
- The system must comply with all campus privacy and data security standards (e.g., FERPA), act, and meet digital content (WCAG 2.1 AA) accessibility requirements per the disabilities Act.
- Solution must provide functional, scalable options to support modular deployment with no minimum locker or user count and have the capacity and equipment inventory to support potential future expansion with other university departments.
- Provide, install, and support an automated, self-service secure storage system.
- The system will allow users to temporarily and securely store personal belongings without staff oversight, while ensuring high reliability, system integration, and data security.
- Objectives
•    Improve user experience through convenient, technology-enabled self-service storage.
•    Increase operational efficiency by reducing staff involvement in managing lockers or key distribution.
•    Enhance security and accountability for stored items through access control and system monitoring.
•    Ensure ADA accessibility, data security, and integration with campus technology standards.
- Design & Propose a Complete Storage Solution
•    Evaluate site conditions and recommend an appropriate configuration, layout, and locker count.
•    Provide renderings or diagrams showing the proposed installation.
- Provide and Install Hardware
•    Deliver and install all lockers, kiosks, control systems, and electrical/network infrastructure.
•    Ensure compliance with all university and state building, fire, and accessibility codes.
•    Provide clear explanation of cost related to equipment removal and return if leasing options are provided.
- Software & System Integration
•    Include user interface software for self-service locker access and management.
•    Provide options for integration with university ID cards, single sign-on (SSO), and/or mobile credentials.
•    Offer administrative dashboards and usage reporting tools.
- Training & Documentation
•    Train campus operations staff on configuration, maintenance, and troubleshooting.
•    Provide system documentation, including manuals, maintenance procedures, and warranty details.
- Ongoing Maintenance & Support
•    Offer maintenance agreement options (annual and multi-year).
•    Include on-site or remote technical support response time standards.
- Functional Requirements
•    Self-Service Access: Users can reserve, access, and release lockers using a card reader, mobile app, or PIN interface.
•    Flexible Use Options: Configurable time-based access (e.g., hourly, daily, event-based).
•    Automated Unlock/Lock Mechanism: Electronic control, no physical keys.
•    User Interface: Intuitive touchscreen or mobile interface with clear instructions and multi-language support.
•    Administrative Controls: Dashboard for monitoring locker usage, user access, and maintenance alerts. Ability to reset, unlock, or reassign lockers remotely. 
- Hardware Requirements
•    Durability: Heavy-duty, tamper-resistant materials suitable for high-traffic public space.
•    Modularity: Lockers should be configurable in various sizes (e.g., backpack, instrument case, and parcel).
•    Accessibility: ADA-compliant design with accessible reach heights and user interfaces.
•    Power & Network: Minimal infrastructure requirements; options for wired or wireless connectivity.
•    Environmental Conditions: Suitable for indoor campus environment with varying temperature and humidity.
