RFP Description

The vendor required to provide parking revenue control system o efficiently, securely, and reliably manage its parking inventory through a centralized, user-friendly, web-based platform, implement an affordable, state-of-the-art point-of-sale (POS) management system accessible via both web and mobile that streamlines the processing of pre-paid and on-premise parking transactions as well as provide robust tools for revenue management, cash and credit reconciliation, and real-time reporting to support accurate forecasting, financial analysis, and customer data capture.
- Mobile POS units:
•    The software solution must provide seamless integration with shift4 POS mobile a800 units, as well as maintain the flexibility to integrate with any future POS hardware acquired by agency. 
•    These devices will be deployed for use by parking staff and will serve multiple operational functions, including:
o    Scanning barcodes on pre-paid parking tickets or complimentary passes (both physical and digital).
o    Facilitating on-site sales of parking tickets.
•    Each POS unit should be equipped with loyalty card readers, credit and debit card readers for secure payment processing, and a mobile printer for generating receipts or claim tickets (e.g., valet services).
•    The units must support electronic delivery of parking receipts and claim tickets via email or SMS and allow attendants to log incidents occurring within the parking lot.
•    Solution must not only integrate with existing shift4 hardware but also ensure ongoing compatibility through regular updates, safeguarding against potential disruptions caused by hardware or system upgrades from shift4. 
•    This approach guarantees long-term operational continuity and adaptability to evolving technology.
- Real time monitoring dashboard:
•    Total number of parking spots filled by parking lots by location.
•    Total number of available parking spots by lot by location.
•    Total revenue generated by lot by location. (pre-paid v/s sale on the spot)
•    Details on collection at the lot (cash / credit card / promo coupons etc.)
•    Total number of vehicles entered and left by lot by location.
- Vehicle request alert:
•    Guests who parked their vehicle in valet lot should be able to send a request via text messaging to request pickup of their vehicle. 
•    Software should have the option to forward all such requests to mobile POS unit of the associated parking attendant of valet lot where guest vehicle is parked. 
•    All such request should generate audible alerts on their mobile device, and auto-print vehicle retrieval slip at a specified printer. 
•    Guests should receive an acknowledgement text, letting them know their request has been received and should include an estimate time when their vehicle will be ready for pickup. 
•    Real time monitoring dashboards should have a section to display all such requests and their status.
- Reports:
•    Software should include dashboard with option to create variety of views and reports that can help us with all aspects of managing our parking lots for e.g.: accounting, operations, sales, marketing, employee metrics, forecasting, inventory and much more. 
•    Reports should be presented in csv, html, pdf formatting suitable for all recipients. 
•    Software should have the ability to create new customized reports. 
•    Users should also be able to schedule reports that can be sent out to various recipients electronically.
- Non-ticket transactions
•    Dashboard should be able to generate unlimited complementary parking passes with a digital or on paper QRC. 
•    Each barcode should be able to store customers’ information such as names, contacts etc. 
•    POS units and software should be able to track vehicles that are not correlated with purchased parking tickets. 
•    This includes but is not limited to trucks carrying items for tracks, employee vehicles, delivery trucks, etc. 
•    agency badge may be presented which contains a barcode that is used by agency applications. 
•    POS unit should be able to integrate with said agency application and successfully read the barcodes in the agency badges.
- Systems requirements
•    Web-based and cloud-based system
•    Data and attachments stored should be exportable.
•    Program features customizable reporting
•    Program should have audit trail
•    Intuitive interface to be accessible to a wide range of users across various departments
•    Compatible with popular browsers (chrome, Firefox, internet explorer, safari)
•    Compatible with multiple operating system (windows, mac)
•    99.99% uptime with redundancy for business continuity
•    Offline capabilities for when connectivity is not present
•    Ability to make daily back-ups with option to restore in case of emergency.
•    Role-based user classification.
•    Access to online user guides, training videos, FAQs and knowledge base.
