The Vendor is required to provide computerized maintenance management system (CMMS) or implement a replacement.
- Services include:
• Work orders – tracking of planned and corrective work orders for each location, major equipment, grounds, athletics, and properties. This includes tracking inventory issues, material & labor costs, assignees, dates opened/closed/changed, level of functionality defined by type of user, automatic routing of work order to technician, email notifications at various changes and schedules, tagging work orders by various code, priorities, conditions, root causes, etc. An easy access application to open work orders by the school. Metrics & reporting for various user types.
• Event scheduling – scheduling of after-school events and an interface to the desigo building automation system for enabling HVAC and lighting. Including: allowing both indoor and outdoor spaces to be scheduled, routing for approval, calculation of rental rates for the community and for commercial users. Metrics & reporting for various user types.
• Inventory – parts and materials to support work orders including ‘rental’ function for equipment like lifts, specialty trucks, GPR and other specialty equipment. Including: recording issued inventory on work orders, search, reserve of parts, reserving equipment by date, automatic re-ordering, multiple inventory warehouses, notification of low stock, notification of unused items, metrics, and reports.
• Energy management – tracking of all utility bills and usage with reporting and interface to energy star portfolio manager. The vendor must include a service to update all utility bills on a timely basis. Including all reporting required by the state, analysis between locations and time periods, notification of excessive use, notification of missing bills, tracking of energy performance based on capital projects (HVAC replacements, roof replacements, etc.).
• Capital replacement forecasting – tracking significant equipment, systems and construction of each location including installation and replacement dates, forecasting replacement dates and costs based on age and condition, cost estimates based on industry costing standards, reporting. Including: link to rsmeans or other service for pricing, calculations of inflation, FCI calculations, budgeting forecast, metrics, reporting.
