The Vendor is required to provide a single integrated solution to function as an information management system and digital collections platform to house and maintain archival descriptions and digital collections content.
- One system in place of the multiple systems currently used to perform the following tasks:
• Accession new donations and purchases of archival materials (ArchivesSpace)
• Describe (catalog) archival materials (ArchivesSpace)
• Make publicly available archival descriptions (ArchivesSpace)
• Make publicly available oral histories (Kaltura, Omeka)
• Accession and describe new donations of artifacts (PastPerfect)
• Make publicly available digitized, born-digital, and digital records in multiple formats (Locally developed platform based on WordPress and bepress Digital Commons)
• Manage digital collections metadata and standardized vocabularies (CollectiveAccess)
- These systems are used by different departments within libraries including:
• Special Collections and Archives
• Historic Properties
• Digital Strategies
• Metadata Services
• Digitization Services
- The system must allow multiple users to access it at the same time. Users must be able to add, edit, and remove content to/from these collections in a batch or individually.
- The Information Management System must be able to create distinct digital collections with unique names, metadata parameters, and controlled vocabularies. The system must allow multiple users to access it at the same time. Users must be able to add, edit, and remove content and metadata to/from these collections in a batch or individually.
- Users must be able to limit search parameters before and after the search is conducted using filters/facets.
- Authentication
• Single Sign On (SAML-based Shibboleth)
• Solution will enforce restrictions on actions and system functions based on assigned user/role/group and access status
• Solution will enable granular access control for administering and using collections and items
• Solution will be capable of restriction of collections and/or objects based on location (e.g., by IP range)
