The Vendor is required to provide professional transcribing services for the council board meeting minutes.
- Estimated to take approximately 8 hours each meeting to transcribe minutes.
- Estimated 20 pages of transcript per meeting, including the full transcript of public comment and testimony.
o 8 hours x 4 meetings = approximately 32 hours
- All transcribed meeting minutes shall follow Robert’s rules of order;
- The meeting minutes shall not be transcribed verbatim, except for public comment and testimony, which must be transcribed in full verbatim;
- Minutes must be organized with action items and bullet points;
- Meeting narrative shall be concise with clearly identified discussion topics;
- Abbreviations are expected for degrees, titles and merits used with proper nouns. Commonly known abbreviations such as a.m. / p.m. or those used for measurement are acceptable.
- Once a year there is a one-day special council meeting with eight hours of audio. Typically, there is no public comment during this meeting.
- This will produce approximately 20 pages of transcription.
- Four, two-day meetings minute preparation.
- Estimated to take approximately 20 hours each meeting to transcribe minutes.
- Estimated 40 pages of transcript per meeting, including the full transcript of public comment and testimony.
o 20 hours x 4 meetings = approximately 80 hours
- One, one-day annual special meeting minute preparation.
- Estimated to take approximately 8 hours.

- Contract Period/Term: 1 year
