The Vendor is required to provide turnkey university event support services shall include, but are not limited to: providing reserved group tailgating event management services, providing event staffing services, providing field level suites at athletic sporting events, etc.
- 2026 Football Season is as follows:
a. Proposers should provide a plan/diagram with a specific layout for how they envision the tailgating area located on the Dietrick Lawn. All plans/diagrams should list in detail the size of the tents, capacity, amenities, services, personnel, etc. along with an itinerary from start time of set up to the end time of clean up.
b. Proposers must demonstrate the ability to provide to meet the needs of fans/clients on game day to provide a turnkey tailgating experience, including but not limited to, 1) offering several tailgating packages to include catering, 2) resolving disputes promptly, 3) and maintaining a comprehensive safety plan to address events such as weather, health and security risks.
c. Proposers should provide an outline of a tiered package plans with options to provide services for groups of various sizes. Packages should outline all amenities and services included in the package such as coolers, ice, chairs, tables, etc.
d. Proposers should provide various options for both season tickets holders who may want to engage tailgate services for the entire season and options for individual games packages.
e. Proposers should provide a concept for catering servings to be provided. Please note that state Tech has an exclusive pouring rights contract currently with Coca-Cola, which applies to all participants and activities held on campus. f. Proposers should outline a set-up and clean-up plan that provides all details to perform these services. Please indicate what staff you intend to have available at when. This includes bellhops, hostesses, general labor, etc.
g. Proposers will be responsible for providing reservations services and will be held to the highest standards of customer service. Please provide a conceptual outline to provide marketing, development, and implementation of these services. Proposers should demonstrate knowledge of the state Tech Football experience.
h. Financial Considerations: Proposers should indicate what percentage of company’s gross sales would be paid to state Tech for all tailgate transactions with customers.
- Event Staffing Services
a. Respond to requests from the university to provide a full suite of event management services as needed.
b. Provide all personnel, equipment, uniforms and incidentals necessary to provide event staffing services.
c. Provide two-way radio communications that interface with the university system.
d. All staff members will be employees of the contract holder. All training, transportation and personnel accounting will be provided by the contractor.
