The Vendor is required to provide school picture and photography services on an as needed basis district wide.
- File Format & Image Quality
• File type: JPEG (.jpg or .jpeg)
• Minimum resolution: 600 x 750 pixels (portrait orientation)
• Image quality: Clear focus, correct exposure/white balance, and suitable for student information systems and ID/badge use (no heavy filters or watermarks)
- File Naming Convention
• Standard naming convention required: stuID.jpeg
• Example: 123456.jpeg
• stuID must match the district-provided student ID exactly (no extra characters, spaces, suffixes, or prefixes)
- File Delivery Method
• Must deliver photo files via secure file transfer (SFTP).
• Must drop photo files into a district-designated location (destination and credentials provided by institute).
• Must support district-defined folder structure and delivery cadence as specified by institute (e.g., by campus, by batch/date).
- Network/Security Requirements
• Must provide the source public IP address (es) that will connect to institute for SFTP transfers.
• Must provide the vendor source IP(s) in advance for whitelisting and notify institute prior to any changes.
- Metadata Requirements
• Each photo file must include embedded metadata indicating:
• Date of photo (photo capture date)
• School year (e.g., 2025-2026)
• Metadata must be consistent and present for all delivered files.
- Required Photo Types & Deadlines
• Fall photos: Delivered to institute no later than 9/15 of school year
• Makeup photos: Delivered to institute prior to 12/1 of school year
• Must communicate delivery status and confirm completion for each submission.
- Contract Period/Term: 1 year
