RFP Description

The Vendor is required to provide to ensuring the health, safety, and well-being of its employees by providing timely and effective management of workers’ compensation claims.
- The City seeks to partner with a qualified contractor to administer all aspects of workers’ compensation claims in accordance with the act.
- Account Manager
•    Contractor shall assign a designated account manager to the city account with responsibility and authority to take all necessary steps to ensure that city expectations are met, and to solve all contract disputes, professional performance, invoicing, and other conflicts that may arise. 
•    Account manager should have a minimum of ten (10) years of relevant experience, including a minimum of six (6) years of workers’ compensation claims supervisory experience.
- Claims Supervisor
•    Contractor shall assign a dedicated claims supervisor to the city account. 
•    Supervisor should have a minimum of six (6) years of workers’ compensation claims adjudication experience including a minimum of four (4) years of workers’ compensation claims supervisory experience. 
•    Caseloads shall be consistent with industry standards. 
•    Maximum caseloads will be agreed upon by the contractor and city prior to inception of the contract.
- Continued Compliance: The Contractor shall continue to perform and remain solely responsible for meeting all contractual obligations, regardless of the City’s decision regarding staffing changes.
- Provide a secure e-mail address to receive the employee’s injury report. The City currently accepts employee claims through electronic mail and in paper form, but may consider other submission options in the future as warranted.
- Adjuster shall verify the accuracy of information entered for each injury report, including agency location, nature, and cause codes.
- Facts from Employee: Contractor shall include employee description of accident, medical/disability status, names of medical provider, and prior medical and claim history;
- Facts from Human Resources: Contractor shall include human resources description of accident, job title, description of duties, history of employment, injury disability status, return to work possibilities and any other pertinent information; and
- Except for workers’ compensation claims that are opened for medical benefits only and automatically closed, the Claims Supervisor shall document the review of all open claims in the comments section of the electronic activity notes.
